What to know first
A useful Schedule C file starts with complete income records, categorized business expenses, support for mixed business-and-personal costs, and details for assets, vehicles, contractors, and a home office when applicable. Reconcile payment-platform reports to your own books instead of relying on tax forms alone.
Income and business records
Gather your bookkeeping reports, invoices, bank activity, merchant statements, and Forms 1099. Schedule C generally reports the business's gross receipts, even when a payer did not issue an information return.
Reconcile Forms 1099-NEC and 1099-K to the underlying sales records. A payment form can report gross processing volume before fees, refunds, or other adjustments, so it is not a substitute for a complete income ledger.
- Year-end profit-and-loss statement and general ledger
- Forms 1099-NEC, 1099-K, and other income statements
- Invoices, deposits, refunds, chargebacks, and cash receipts
- Business bank and payment-processor statements
Expenses, assets, and mixed-use costs
Keep receipts and records showing the business purpose, amount, and date of each expense. Separate personal costs from business costs and identify items that may need to be capitalized or depreciated rather than deducted immediately.
- Advertising, insurance, software, supplies, professional fees, and rent
- Vehicle mileage or actual vehicle costs with a contemporaneous log
- Equipment and other assets, including purchase and placed-in-service dates
- Home-office measurements and expenses when the space may qualify
- Contractor payments and related information-return records
Questions to resolve before filing
Flag new business activities, inventory, employees, large purchases, multi-state work, prior-year carryovers, and estimated payments. These facts can change the forms, elections, or supporting schedules needed with the return.
